At GentleFieldCo, we recognize that plans may change, and we are committed to having clear and honest refund policies. This policy details the conditions in which refunds are granted for yacht rental services.
Please examine this policy thoroughly prior to booking. By reserving a charter with GentleFieldCo, you consent to these refund conditions.
Standard Cancellation and Refund Schedule
More than 72 Hours Before Charter
Eligible for: Complete refund excluding processing charges
Processing Time: 5-7 working days
Processing Fee: £50 for credit card payments
Conditions: Must be requested via written correspondence such as email or telephone
24-72 Hours Before Charter
Eligible for: Half of total charter price
Processing Time: 7-10 working days
Processing Fee: £25 subtracted from the refund
Conditions: A valid rationale is required; admin costs will be applied
Less than 24 Hours Before Charter
Eligible for: Refunds are not available
Exception: Situations of urgency may be taken into account
Alternative: Credit for chartering might be granted at the discretion of the management
Conditions: Emergency claims require supporting documentation
Weather-Related Cancellations
Our Weather Guarantee
Your safety is our priority. If chartering conditions are determined as unsafe by our professional captain, we provide flexible alternatives:
- Full Refund: Offered if rescheduling is not an option
- Reschedule: Shift your charter to an upcoming available slot with no added fees
- Charter Credit: Issuance of a credit valid for one year from the original charter date
Weather Assessment Process
We evaluate weather conditions through:
- Evaluation of wind force and direction
- Assessment of wave scale and oceanic conditions
- Forecasts of visibility and precipitation rates
- Notices and cautions from the Coast Guard
- Professional judgement of the captain regarding safety
Decision Timeline: Decisions related to weather cancellations are made at the latest 4 hours before the scheduled departure.
Medical Emergency Refunds
Emergency Situations
We are sympathetic to the fact that medical emergencies may arise. Special considerations may be made for the following conditions:
- Unexpected illness or injury demanding hospitalization
- Passing of a family member
- Call to military duty or urgent deployment
- Summoning for jury duty or legal obligations
- Catastrophes affecting travel capability
Documentation Required
To process requests for refunds in emergency cases, please provide:
- Hospital statements or medical certifications
- Official documents regarding a family death, if relevant
- Orders from the military
- Legal summons or jury notices
- Emergency edicts or travel warnings
Processing: Refunds initiated due to emergencies will be conducted within 3-5 business days after the necessary documentation is received.
Operational Cancellations
Technical Difficulties
If the yacht designated for you encounters technical issues that can't be resolved:
- Alternative Vessel: We will attempt to provide a substitute of comparable quality
- Full Refund: Offered when no adequate substitute is found
- Partial Refund: Granted if the alternative yacht has dissimilar pricing
- Compensation: May be considered for the inconvenience
Crew Unavailability
If a qualified crew is not available in rare instances:
- Arrangements for an alternative crew will be made when feasible
- Refund in full if the charter cannot move forward
- Opportunity to reschedule without extra charges
Refund Processing
Method of Payment
The method used for booking will be the same for issuing refunds:
- Credit Cards: Within 5-7 business days
- Bank Transfers: Within 7-10 business days
- Cash/Cheque: Within 3-5 business days

Credit Card Processing
£50 fee for cancellations done more than 72 hours beforehand
Bank Transfer Processing
£25 fee for all bank transfer refunds
International Processing
Surcharge may apply for overseas transactions
Charter Credits
Instances When Credits May Be Given
In certain situations, credits for chartering may be provided instead of refunds:
- When cancellations occur late (less than 24 hours before)
- Cancellations due to adverse weather
- Voluntary rescheduling requests by the client
- Disruptions caused by operational issues
Terms for Credits
- Validity: Good for 12 months since the date of issue
- Transferability: Not able to be transferred to another individual
- Value: Equal to the full cost of the charter (processing fees excluded)
- Usage: Redeemable for any charter open for booking
- Expiration: Will not be extended beyond 12 months
Partial Service Refunds
Service Disruptions
In the event your charter experience is cut short or disrupted due to our control:
- A refund proportionate to the unutilized duration
- A credit equivalent to the upcoming charter of the same value
- Complimentary offers or upgrades
Guest-Related Disruptions
If an early termination of the charter happens due to the actions or safety violations of the guest:
- No return of funds for the portion not used
- Full payment is still required
- Potential additional fees may be incurred
Dispute Resolution
Should you not concur with a decision regarding refunds, you are allowed to:
- Petition for an evaluation by our management
- Submit further evidence or paperwork
- Contact consumer protection entities for mediation
- Pursue judicial action consistent with the prevailing laws

Step 2: Submit Your Details
Your refund plea should include the following information:
- Confirmation number of your booking
- Date and timing of your charter
- Justification for cancelling
- Supporting papers, if applicable
- Your preference for the refund method
Step 3: Assessment and Execution
Our team will acknowledge your request within a day, evaluate it in accordance with this policy, make a decision within two days, and carry out approved refunds within the given timeframes.
Important Considerations
- All pleas for refunds must be documented in writing
- Refunds will be processed in £ irrespective of the original payment currency
- It is highly suggested to have travel insurance
- This policy may be revised, with a notice period of 30 days
- Refunds are subject to the relevant taxes and legal requirements
